Office Administrator (m/f/d) Full-Time
Independently organize and handle all administrative and business tasks with the goal of
significantly reducing the workload of management in day-to-day operations.
Overview of Responsibilities:
1. Office Organization & Administration: Organizing day-to-day office operations and supporting administrative processes
2. Managing emails, correspondence, and documentation
3. Maintaining and organizing filing systems, data, and internal systems
4. Coordinating schedules and supporting meetings
- Commercial & Administrative Tasks: Supporting invoicing processes and reviewing incoming and outgoing invoices
- Preparing documentation for accounting and tax advisors
- Assisting with payment reconciliations and day-to-day commercial activities
- Preparing reports, lists, and overviews
- Coordination & Communication: Serving as a point of contact for internal departments, suppliers, and external partners
- Coordinating appointments and liaising with various departments
- Supporting organizational and cross-functional initiatives
- Operational Support: Assisting with customer correspondence and supplier coordination
- Supporting the preparation of quotations, billing, and organizational processes
- Ensuring accurate and up-to-date data maintenance in internal systems
Your Profile
- Completed commercial apprenticeship or a comparable qualification
- Experience in office organization or administrative support
- Structured, accurate, and independent working style
- Proficiency in Microsoft Office, digital tools, and ERP systems (an advantage)
- Reliable, well-organized, and a strong team player
